Privacy statement
How NovUM handles your personal data when you visit this website, send us a message or register as a member. Last updated: October 2026.
Who is responsible
NovUM Student Party Maastricht ("NovUM", "we") is responsible for the personal data described below.
- Address: [NovUM POSTAL ADDRESS]
- Chamber of Commerce (KvK) number: [KvK NUMBER, if registered]
- Email: novum@maastrichtuniversity.nl
Visiting the website
We don't use analytics, advertising or tracking cookies. Our hosting provider [HOSTING PROVIDER, e.g. Cloudflare] processes your IP address and technical data (browser, time of the request) to deliver the site and protect it against abuse. These logs are kept for a short period only. Legal basis: our legitimate interest in a working and secure website (Article 6(1)(f) GDPR).
The fonts and scripts of this site are served from our own website, so no data is sent to font or script services when you browse.
Contact form
When you use the contact form, we receive your name, email address, the topic, the council it concerns (if any) and your message. We use this only to answer you and, if you choose a council, to pass your question on to the NovUM councillors of that council.
- Where it is stored: in our database at Supabase, a hosting service, on servers in [REGION, e.g. Frankfurt, Germany].
- Email notification: each message is emailed to novum@maastrichtuniversity.nl through the email service Resend. Resend is based in the United States; the transfer is covered by the EU–US Data Privacy Framework and standard contractual clauses.
- Legal basis: our legitimate interest in answering your question (Article 6(1)(f) GDPR).
- How long: we delete messages [12 months] after we have answered them.
Student poll
The poll on the home page stores only the issue you choose, your faculty if you give it, and, if you write one, your short explanation. It does not store your name, email address or IP address. Written explanations are only read by the NovUM board and are never published; please don't include personal details in them. To prevent double voting, your browser remembers that you voted this academic year (in local storage, not a cookie), which you can clear in your browser settings. Votes are deleted when the poll is reset at the start of each academic year.
Membership registration
The membership form is a Google Form. It only loads when you click "Load the registration form"; at that moment Google receives your IP address and may place cookies under Google's privacy policy. The details you fill in (such as your name, email address, faculty and study programme) are stored in Google's systems and are only accessible to the NovUM board.
- Purpose: handling your membership, inviting you to members' meetings and keeping you informed about NovUM.
- Legal basis: your membership (Article 6(1)(b) GDPR) and, where the form asks for it, your consent (Article 6(1)(a) GDPR), which you can withdraw at any time.
- How long: as long as you are a member, and [1 year] afterwards for our member administration, unless you ask us to delete it sooner.
Photos and names on this website
We publish the names, roles and photos of board members and councillors only with their permission. If you appear on the site and want something changed or removed, email us and we will do so promptly.
Who else sees your data
Only the NovUM board, and the councillors concerned for messages about a council. We never sell your data. Besides the services named above (Supabase, Resend, Google and our hosting provider), which process data for us, we only share data when the law requires it.
Your rights
You can ask us to access, correct or delete your data, to restrict or object to its use, or to receive it in a portable format. You can withdraw consent at any time. Email novum@maastrichtuniversity.nl; we reply within one month.
If you think we handle your data incorrectly, please tell us first. You also have the right to file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
Security
The site is served over an encrypted connection (HTTPS). Form data can only be read by signed-in NovUM board members; visitors and other parties cannot read it.
